A financial year (FY) is linked and associated with other data sets such as Term Time, Closure Days, Products, Bookings & Children. These data sets work in a cohesive manner because Cheqdin is powered by an intelligent booking algorithm and helps automate multiple functions. Hence, before you delete a financial year set you'll have to delete the interdependencies for that FY.
To delete a financial year, you'll need to first delete any/all associations in the below order:
Important:
To successfully delete all dependent datasets, you must follow the order of deletion stated below, you won't be able to delete if the deletion order is done at random.
Step 1: Delete sessions booked
Step 2: Products defined (both active and inactive) under this FY
Step 3: Term Time plans defined under this FY
Step 4: Closure days defined under this FY
Step 5: Delete the Financial year
Step 1: Check if there are children with bookings for the sessions you are trying to delete. If not, you can skip to Step 2.
Delete bookings from the 'booking details' page for all children with the FY sessions that you are trying to delete.
- Go to 'Centre Settings' > 'Booking Details' > Select child name
- Select FY, Term Time, Session Name
- Click on Bulk delete, update the start and end date
- Click save to delete the bookings
Repeat the same steps for all children with FY products that you are trying to delete
Step 2: Delete products(active/inactive) defined for the specific FY that needs to be deleted.
Go to 'Centre Settings' > 'Financial Year' > 'Products' and click on the Action button '...' to delete products defined under the FY that you're looking to delete. Be sure to delete active + any inactive products as well. To see the 'Inactive' products, click on the 'Status' box on the top left and select 'Inactive' from the dropdown list, you'll now be able to view inactive products if any and delete them.
Step 3: Delete Term time defined for the FY
Go to 'Centre Settings' > 'Financial Year' > 'Term Time' and click on the Action button '...' to delete the term time defined under the FY that you're looking to delete.
Step 4: Delete closure days defined under this FY
Go to 'Centre Settings' > 'Financial Year' > 'Closure Days' and click on the Action button '...' to delete the closure days defined under the FY that you're looking to delete.
Step 5. Delete the Financial Year
Once you've completed Steps 1 - 4, you'll be able to delete the FY. Go to 'Centre Settings' > 'Financial Year' > Click on the Action button '...' to delete the FY. You can add another Financial year if you wish to do so.
