How to setup access for all staff to view and post to Notebook Timeline and Daily Diaries?

We recommend that you assign only authorised staff to each room/class for security reasons. To do this, you can give each staff member access from 'Centre Settings' > 'Staff'. To see how you can set up access control for individual staff, please refer to this article:

Some centres might require access for all staff. If you wish to use an all-access account to view and post to the notebook timeline and daily diaries, you can create an entry in 'Staff' under 'Centre Settings' as shown in the following example below: 


  • Enter a generic first and last name - For example: All Staff, Centre One
  • Please ensure that the email address you provide belongs to or is administered by your centre. You can use an existing Gmail or Outlook/Hotmail address or create a new one for this purpose. You can use an email from any service provider, for example, centreone@mail.com.
  • Click on the ellipsis (...) button under the action tab, this will open the staff profile in editing mode. Under personal info, edit and select the access type - usually, this would be 'App Access Only'. 
  • Click 'Save'.
  • In the member access control list view (see picture below), select the newly created entry and click on the 'Send Login Details' icon on the top right to trigger login details to the email address provided when you created the record. 
  • Use the login credentials to log in (as staff) to the Notebook app on all your mobile and tablet devices.
